A cancellation policy clients respect (and won't scare them away)
A good cancellation policy protects your revenue without scaring clients off. Here's how to write one.
A cancellation policy that works
A vague or overly strict policy leads to frustration on both sides. Here's a template our most successful users use.
The 24-48-100 rule
- >48h ahead: free cancellation, no questions
- 24-48h ahead: 50% of the amount charged
- <24h or no-show: 100% of the amount
Why it works
- Fair: clients know exactly where they stand
- Practical: 48h gives you time to refill the slot
- Predictable: no after-the-fact discussions
How to communicate it
- At online booking: checkbox 'I agree to the cancellation policy'
- In the confirmation email: link to full policy
- In the 24h reminder: 'You can make changes here'
What to do when violated
- First time: friendly reminder, no charge
- Second time: charge per policy
- Third time: require pre-payment for future bookings
Template
'I understand time is precious. That's why we charge for cancellations within 24h or no-shows. Changes can always be made free of charge up to 48h ahead via this link [link].'
Sounds strict? It's simply professional — and your clients will respect you more for it.
